What the Sync Does
Connect QuickBooks Online and the invoicing you already do in DispatchCore shows up in your books without re-typing. Customers, invoices, and payments push across as you work — from the office or from a technician's phone, it makes no difference.
This is one-way for the most part: DispatchCore is where the work happens, QuickBooks is where the accounting lives. Payments recorded in QuickBooks flow back so an invoice you settled in the books doesn't keep chasing your customer.
Connecting QuickBooks
Go to Settings → QuickBooks and click Connect. You'll sign in to Intuit and pick the company file to link. Your login stays with Intuit — DispatchCore receives an access token, which is encrypted before it's stored.
You can disconnect from the same screen at any time. Disconnecting stops future syncing; it doesn't remove anything already in QuickBooks.
What Syncs, and When
- Send an invoice → it appears in QuickBooks as an invoice
- Mark an invoice paid → the payment is recorded against it
- Void an invoice → it's voided in QuickBooks too, so your books don't keep showing money that was never coming
- Customers are created as needed, so you don't get duplicates for repeat work
A voided invoice is voided rather than deleted, which keeps the document number accounted for — the way an accountant would want it. One exception: if a payment has already been applied against that invoice in QuickBooks, we leave it alone rather than void underneath a payment and orphan it. Sort that pair out by hand.
Sync Now
Settings → QuickBooks has a Sync Now button that pushes your sent and paid invoices. Useful right after connecting, when you want existing work in the books.
Sync Now only pushes. It won't undo or retract anything, so it can't repair a mismatch — if something is wrong in QuickBooks, fix it there.
What It Won’t Do
Being straight about the edges, so nothing surprises you at tax time:
- Refunds aren't reversed in QuickBooks. Refund in Stripe and DispatchCore records it, but the payment already pushed to QuickBooks stays until you void it there.
- Chargebacks aren't handled anywhere yet — not in DispatchCore, not in the sync. If a customer disputes a payment, update both by hand.
- Only QuickBooks Online. Xero and desktop QuickBooks aren't supported.
- Estimates don't sync — estimates live in DispatchCore until they become a job and then an invoice.
