Photo Documentation

Job photos are one of the most valuable features in DispatchCore. They create a visual record of every job — before the work started, during the process, and after completion. This protects your company and builds customer trust.

Photos are organized into three categories:

  • Before — Document the condition before you start work. Take photos of existing damage, equipment labels, serial numbers, and the work area.
  • During — Capture work in progress. Useful for documenting hidden issues discovered during the job.
  • After — Show the completed work. These are your proof that the job was done correctly.

Taking Photos

From the job details screen, tap the Camera button. Select the photo category (Before, During, or After), then take the photo. The app uses your phone's camera — you can also select existing photos from your gallery.

Photos are automatically:

  • Attached to the correct job record
  • Categorized (Before/During/After)
  • Timestamped
  • Synced to the server (or queued for sync if offline)

You'll see a "Photos synced" confirmation when upload is complete. If you're offline, photos are stored locally and synced automatically when you reconnect.

Field Notes

Every job has a notes field where you can type observations, findings, and recommendations. Notes auto-save as you type, so you never lose what you've written — even if you switch to another app or lose connectivity.

Good notes help your dispatcher, your office, and the next tech who visits the same customer. Include:

  • What you found when you arrived
  • What work you performed
  • Any issues discovered during the job
  • Recommendations for future work or follow-up
  • Parts or materials used

Customer Signatures

When a job is complete, you can collect the customer's signature directly on your phone screen. The customer signs with their finger on the signature pad, confirming the work was performed.

Signatures are:

  • Attached to the job record permanently
  • Included on invoices as proof of completion
  • Available for viewing from both the mobile app and web dashboard
  • Captured offline if there's no connectivity (synced later)

Collecting signatures protects your company against disputes. If a customer ever claims the work wasn't done, you have a signed, timestamped, GPS-located record proving otherwise.

Best Practices

  • Take "before" photos every time — Even if the job seems straightforward. Document existing conditions before you touch anything.
  • Photograph equipment labels — Model numbers, serial numbers, and manufacturer labels. Your office will thank you when the customer calls back.
  • Write notes while you're on site — Don't wait until later. The details fade fast once you're on the next job.
  • Always get a signature — Make it a habit. It takes 10 seconds and prevents hours of disputes.
  • Use "after" photos to show value — A clean, working system in the "after" photo shows the customer exactly what they're paying for.
